Find a place to run. Pick a date. Get some people to show up.

A good 5K doesn't happen because the race director remembered everything on race morning. It happens because most of the decisions were made months earlier.

1. Start With the Purpose of Your 5K

Before deciding anything else, answer one question:

Why are you holding the race?

Before setting registration prices, figure out what the race will actually cost.

A 5K budget may include:

  • Permit fees
  • Venue or park fees
  • Event insurance
  • Police or traffic control

Your perfect Saturday morning might also be the date of:

Check community calendars and local race calendars before committing.

Then evaluate your location.

You need more than 3.1 miles of pavement.

A beautiful course can still be a terrible event location if 500 people have nowhere to park.

5. Handle Permits and Insurance Early

This should happen near the beginning of the planning process, not after you've already sold 300 registrations.

Depending on your location, you may need approval from:

  • Town or city government
  • Police department
  • Parks department
  • Public works department
  • State or county road authorities
  • Private property owners
  • Schools or universities
 

Contact the appropriate local authorities early and determine what permits, insurance certificates, traffic plans, maps, and documentation will be required.

Keep every permit, insurance certificate, agreement, contact, map, and approval in one shared event folder.

6. Design the 5K Course

A 5K is 5 kilometers, or approximately 3.1 miles.

But getting to 3.1 miles isn't the only goal.

A good race course should also be safe, understandable, and manageable for runners and race organizers.

  • Traffic
  • Sharp turns
  • Railroad crossings
  • Construction
  • Hills
  • Narrow sections
  • Turnaround points

Walk or drive the route several times.

Better yet, do it with the people who will be responsible for traffic control and race operations.

Does Your Course Need to Be Certified?

Not every community fundraiser needs a certified race course.

However, if accurate competitive results are important, professional measurement or USATF course certification may be worth considering.

At minimum, don't simply trace something on an online map and assume you have exactly a 5K.

7. Set Up Registration

Your registration form needs to collect more than a name and credit card.

Consider collecting:

  • Name
  • Age or date of birth
  • Gender division if used for awards
  • Email

  • Team name
  • Waiver acceptance
